Three AI agents covering the full sales cycle
A client running a high-volume service business where the sales process had too many manual handoffs. Reps were manually following up with leads, writing proposals after calls, chasing contract signatures, tracking payments, and setting up new clients. Each step was a potential delay or dropout.
Designed and built a three-agent sales automation ecosystem in n8n that handles the complete customer lifecycle:
Agent 1, Lead follow-up and CRM:
Automatic AI-driven follow-up sequences after lead capture. Handles meeting booking, sends reminders, and keeps the CRM updated at every stage without rep involvement.
Agent 2, Call to proposal:
Fathom records and transcribes sales calls. The agent extracts key information (client needs, scope, pricing signals) and uses it to auto-generate a tailored PandaDoc proposal. Proposal is sent for signature within minutes of the call ending.
Agent 3, Contract to onboarding:
Once the contract is signed, the agent monitors payment completion, triggers a welcome sequence, sets up Google Drive folders for the new client, and initiates the onboarding workflow automatically.
The full pipeline: Lead capture → AI follow-up → call → AI-generated proposal → contract → payment → onboarding. All connected.
Sales cycle reduced by approximately 60%. Manual data entry eliminated across all stages. Proposals go out within minutes of a call instead of hours or days.
