End-to-end revenue automation
A custom packaging company for restaurants, growing fast but running the entire commercial operation by hand. The core problem: they were getting leads from Meta Ads but had no way to know which ones were qualified. Sales reps called leads in random order, wasting hours on people who weren't a fit. On top of that, quotes were created manually and disconnected from invoicing. WhatsApp communication was fragmented across each rep's personal number. No shared visibility, no automation, no system.
Built a complete automated revenue system with 15+ n8n workflows, self-hosted on a VPS with Docker and Easypanel.
AI lead qualification:
When a lead comes in from Meta Ads, instead of going straight to the sales team, it first goes through a WhatsApp AI agent. The agent has a conversation, asks qualifying questions, and scores the lead. Hot leads go to the top of the CRM queue (sales calls them first), unqualified leads get deprioritized. The sales team only spends time on leads with real intent.
Centralized WhatsApp:
All commercial WhatsApp numbers were unified into Chatwoot via Evolution API. The whole team can see and respond to all conversations in one place. CRM pipeline stages update automatically from conversation status.
Automated invoicing:
When a quote is approved, the system auto-generates an invoice in Holded with a unique reference number, sends it to the client, and syncs everything to a Google Sheet.
Supplier workflow automation:
When a designer finishes packaging files, uploading them to Google Drive triggers automatic generation and sending of purchase orders to suppliers, with specs, designs, and order numbers attached.
Stock management:
The system tracks delivery dates and estimates reorder timing. Clients get an automatic WhatsApp before they run out of stock, a retention play that keeps revenue consistent.
Custom HTML forms:
Claude Code was used to build custom HTML UIs for internal forms connected to n8n, giving the team a clean interface for data entry and reducing errors from manual input.
